Position: Student Service Coordinator

Purpose: To assist full time Volunteer and Service Coordinators with daily job functions

Responsible to: Volunteer Coordinator

Responsibilities: To assist CSSN Staff with the duties in any office or program site, duties may include:

  • Complete client intake/assessment and documentation
  • Ensure that special needs of client are addressed and make necessary changes to service delivery
  • Monitor and follow up with client/caregiver/volunteer to determine satisfaction with services and documents results
  • Maintain accurate and current client files, corresponding database and service records
  • Work with Volunteer and Service Coordinators
  • Maintain confidentiality of client/volunteer information
  • Participate as a CSSN team member, promoting the agency and making suggestions for improvements
  • Prepare reports as requested
  • Attend meetings and training sessions and maintain current knowledge of client related services
  • To maintain a courteous and friendly manner to all persons on the telephone/in person including clients, volunteers, other agency personnel and outside agency personnel
  • To assist the staff with office duties as assigned
  • Performs other duties, administrative and otherwise as assigned

Qualifications and Requirements:

  • To complete the screening process: application form, personal interview, sign confidentiality agreement and attend orientation and training.
  • Must possess a valid driver’s license, $1,000,000 liability insurance and have access to a reliable vehicle
  • To possess good verbal and written communication skills
  • Office and computer experience an asset
  • To follow all CSSN policies and procedures
  • To have patience, understanding and enjoy helping others
  • Ability to speak a second language an asset

The student will be supervised by the Volunteer Coordinator. The student will shadow staff in their current roles. Although directly supervised by the Volunteer Coordinator, the student will also have the opportunity to work other staff in the office to learn their specific roles and programs in the agency. The volunteer coordinator will maintain an open door policy that will allow the student to learn and excel in this position.

Following are some of the tasks (depending on service) that may be assigned during a student placement:

ASSISTED SHOPPING:

  • Attend an assisted shopping trip as an assistant to the driver
  • Phone Calls to confirm client attendance

HOME MAINTENANCE:

  • Make follow-up calls to ensure client satisfaction

HOMEMAKING:

  • Attend a homemaking assessment
  • Assist with filing/administrative duties

LUNCH OUT (Congregate Dining):

  • Assist with taking assigned clients to Congregate Dining Luncheons
  • Assist clients attending the luncheons (i.e. set up, taking'hanging coats, seating, socializing, etc.)

MEALS ON WHEELS:

  • Go on a MOW route and assist with calls for frozen orders and assist with packaging

SAFETY AT HOME:

  • Attend an assessment with a coordinator
  • Nesda data entry (i.e. events, units, etc.)
  • Follow-up calls/clients satisfaction calls

TRANSPORTATION:

  • Meet with coordinator to discuss filling ride requests
  • Assist coordinator with administrative tasks

VOLUNTEER VISITING:

  • Make periodic phone calls to individuals on waiting list
  • Matched with a client throughout duration of placement

VOLUNTEER PROGRAM:

  • Nesda entry
  • Survey follow-up calls
  • Participate in volunteer interviews
  • Attend community/public events to promote volunteer program

WELLNESS SUPPORTIVE LIVING PROGRAM:

  • Contact coordinator to assist with a scheduled group activity

MARKETING/PROMOTION:

  • Personal delivery of flyers and posters within respective communities
